Privacy Policy

POLISHD Sound Inc. ("POLISHD," "we," "us") respects your privacy. We handle something more sensitive than most online services: your unreleased music. This policy explains what we collect, why, and what we do with it.

We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).

Account information. Name, email address, phone number, and password or third-party sign-in identifier.

Sign-in data. If you sign in with Google, we receive your name, email address, and profile picture from Google. We do not receive your Google password or access any other Google data.

Artist and project information. Artist or stage name, social media handles, links to your music, genre, release stage, and the responses you provide during onboarding.

Audio and project files. Stems, rough mixes, reference tracks, creative briefs, and revision notes, including voice notes.

Payment information. Processed by Stripe. We receive confirmation of payment, the last four digits of the card, and billing details necessary for our records. We never receive or store full card numbers.

Communications. Emails, support messages, and in-platform messages.

Usage data. IP address, browser type, device information, pages visited, and referral source, collected automatically.

Advertising data. If you arrive via one of our ads or interact with our Site, Meta Pixel and analytics tools may collect information about that interaction.

• To deliver the Services you purchased — matching your project to an engineer, managing production, delivering files
• To process payment and maintain records required by Canadian tax law
• To communicate with you about your project
• To provide the Free Mix Review report when you request it
• To send marketing communications, only where you have opted in, in compliance with Canada's Anti-Spam Legislation (CASL)
• To improve the Site and Services
• To meet legal, regulatory, and tax obligations

Audio you submit is used only to fulfill your order or generate your requested report. It is stored on access-controlled systems and shared only with the engineer assigned to your project.

We never use your music in our portfolio, marketing, or any public material without your separate written permission, requested and granted independently of this policy.

Every engineer in our network is bound by a written confidentiality agreement covering unreleased client material before being assigned any project.

• Stripe — payment processing
• Assigned engineers — limited to the files and brief needed to complete your project, under written confidentiality obligations
• Hosting, storage, and email providers — to operate the Site and deliver communications
• Meta and Google — advertising and analytics, where you have interacted with our ads or Site
• Professional advisors — accountants or legal counsel, where necessary
• Authorities — only where legally required

We do not sell your personal information.

• Account information: retained while your account is active, and for 24 months after your last project
• Project files: retained for 12 months after final delivery so you can re-download, then deleted
• Free Mix Review uploads: deleted within 30 days of report generation
• Payment and tax records: retained for the period required by Canadian tax law, regardless of deletion requests

We use cookies and similar technologies, including the Meta Pixel and analytics tools, to understand Site usage and measure advertising effectiveness. You can control cookies through your browser; disabling them may affect Site functionality.

Under PIPEDA and Alberta PIPA, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Withdraw consent for marketing communications at any time
• Request deletion of your personal information, subject to our legal retention obligations
• Make a complaint to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta

To exercise any of these, email hello@polishdsound.com. We will respond within 30 days.

We send marketing email only to people who have given consent, either expressly or through an existing business relationship as defined under CASL. Every marketing email identifies POLISHD Sound Inc. as sender, includes a mailing address, and provides a functioning unsubscribe link, honoured within 10 business days.

Transactional messages about an active project — delivery notifications, file requests, status updates — are not marketing messages and are sent regardless of marketing consent.

Some service providers, including Stripe and our hosting and email providers, may process data outside Canada, including in the United States. Information processed in another country may be subject to that country's laws, including lawful access requests. We take reasonable steps to ensure comparable protection.

The Services are not directed at anyone under 18, and we do not knowingly collect information from minors. If we learn we have, we will delete it.

We use reasonable technical and organizational measures to protect your information, including access controls, encrypted transmission, and private file storage. No system is perfectly secure and we cannot guarantee absolute security.

We may update this policy. Material changes will be posted here with a revised date.
